How Chargewise handles account, property, lease and service-charge information.

Who controls your data
Chargewise is the controller for personal data handled through Chargewise. Our registered office is United Kingdom. Contact our privacy team at privacy@getchargewise.com.
Information we collect
We collect account and contact details; business, premises and lease information; service-charge statements and supporting documents; correspondence, authority records, case activity and payment records; and limited security information such as session identifiers, request metadata and audit events.
Please remove unrelated personal information from documents before uploading it. Do not upload special-category or criminal-offence data unless it is genuinely necessary for the review and you have a lawful basis to provide it.
Why we use it
We process information to provide the checker and case service, perform our contract, respond before a contract is formed, protect the service, prevent fraud, maintain professional records, collect fees and comply with legal obligations. We use legitimate interests for proportionate service improvement, security and business-to-business follow-up, with an opt-out in every marketing message.
AI and human review
Software may extract and categorise document content and prepare draft findings. Deterministic rules calculate the figures. A trained human reviewer must review a case before Chargewise sends a query or treats an estimate as an approved position. We do not make solely automated decisions that produce legal or similarly significant effects.
Who receives it
We use contracted hosting, database, private object-storage, email, payment, monitoring and—when enabled—document-extraction providers. They may process data only under our instructions. We disclose case information to landlords, managing agents and professional advisers only where necessary and authorised, or where law requires it.
International transfers
Where a provider processes information outside the UK, we use an approved transfer mechanism and assess supplementary safeguards. The current production subprocessor list is available from our privacy team.
Retention
Unclaimed anonymous uploads are deleted automatically after their short claim window. Account, engagement, case and financial records are retained only for the applicable contractual, tax, limitation and professional-record period, then deleted or irreversibly anonymised. A live legal hold overrides scheduled deletion.
Your rights
You may ask for access, correction, deletion, restriction, portability or objection, and may withdraw consent where consent is the basis. Email privacy@getchargewise.com. You may also complain to the UK Information Commissioner's Office at ico.org.uk.
